Budget and Funding

When planning the residency budget, it may be useful to consider the following:

  • Do you need to buy special materials for use by pupils and staff? Can you obtain these from stock or will the artist supply them?
  • Will you ask the artist to mount an exhibition, or bring in equipment? (You may need to include transport costs for large items).
  • Will there be additional costs such as firing work in the artist's own kiln?
  • Do you need to take out extra insurance cover for the artist's work or for liability?
  • Do you need to bring in any other specialist contractors? For example, if you are installing a large piece of work or piece of equipment, do you need scaffolding or transport?
  • Do you want to extend the facilities or make improvements to the fabric of the building as a result of the residency? Do you need to budget for buying equipment (a printing press, cameras, etc.), for building work or features such as additional lighting?
  • How will you document the residency? Include the costs of film or video or hiring a photographer. Does the school need to purchase a good quality slide projector?
  • Do you need to pay for any supply cover so that teachers can be released from normal teaching duties?
  • Do you want to organise a visit to a gallery or other place with pupils as research before the residency? Allow for transport and entrance fees.
  • Do you intend holding a celebratory event to mark the completion of the residency?

Estimate how many days the artist will need to undertake the required work - include any 'off-site' work that may be needed. The school is expected to contribute towards materials whenever possible.

It is difficult to say precisely how much time should be allowed for preparation and how much should be paid for. If you are inviting an artist to make an application for a residency, it is reasonable for you to expect the provision of a proposal and attendance at one meeting free of charge, as for any other job application. This gives both you and the artist the chance to find out if you can work together successfully. However, if you are definitely offering the residency after this point, any further preparation time by the artist should be allowed for in the costs.
